Tevella: Significant Time and Workload Savings with Publishing Automation

Tevella designs and implements learning environments and other public spaces where people study and work, grow and develop, play and spend time. Tevalla’s product range includes tools and supplies, furniture, and interior products needed in early childhood education and teaching. Tevella’s design work is visible in heavy use and color, for example, in kindergartens and educational institutions, as well as other public and private sector business premises. Tevella also operates as a wholesaler of toys and games.

Tevella has relied on smooth work since 2017 with the help of publishing automation.

Publishing Automation

Combining different data sources benefits quality and time savings

With the arrival of the new PIM, or product information management system, the data settings and layout templates made were redefined for publishing automation so that the information comes directly from the PIM instead of previous sources.

“The cooperation feels good. There has always been smooth and good communication. Before starting cooperation, we compared other publishing automation providers. We wanted to do the typesetting work of our large catalogs ourselves here at Tevella, and therefore wanted to get training and tools for publishing automation from our partner for our own professionals. There are 8 people on our catalog team here. With publishing automation, we save the entire team’s time in the catalog process by an estimated 30%. That’s a big deal.”– Anni Mielonen, Tevella’s E-commerce specialist.

First, a New Brand-Compliant Look for the Catalogs Was Implemented

Together with Tevella, the visual design and conceptualization of the product catalogs were first done, such as a brand-compliant look and typography.

“We got the visuality to a better level than before when catalogs were wrestled with. Updating the look alone would have been a heavy process for us. Cooperation enables brand-compliant updates smoothly in the future as well. We make 3-5 product catalogs annually. The catalogs have 90-400 pages. The process has been significantly lightened; thanks to publishing automation, we don’t do overtime in a panic under Christmas. The transmission of information has been streamlined because most of it is now automatic product information thanks to PIM integration.”

“We have print and digital catalogs according to customer needs, as well as an online store to which the product information of the catalogs leads. We strive to make buying easier in every way, such as by integrating digital catalogs directly into the online store,” Anni says.

Combining Different Data Sources Benefits Quality and Time Savings

Product information originally came from three different sources. We made the combinations so that the necessary information now automatically flows into typesetting from the correct source every time.

“In updating catalogs, such as product deletions and additions of new products, the ease of work is significant: with publishing automation, we save an estimated 30% of time in the work of 8 people in the catalog process! In completely new product brochures, such as seasonal offer brochures, our savings may be even greater, according to my experience, the working time in them has even halved!”, Anni says.

The publishing automation includes various typesetting templates and programmed typesetting rules created for Tevella for different publishing needs so that manual work is left as little as possible.

“The benefit, of course, is also the correctness, error-free and quality of the information.”

With the arrival of the new PIM or product information management system, the data settings and typesetting templates made were also redefined for publishing automation so that the information comes directly from PIM instead of previous sources. What benefits have been obtained from PIM integration? “For example, you no longer need to take and maintain product images in two separate places. You don’t have to make, maintain, or update double data separately for the online store and the catalog. It has simplified things”

What Was Tevella’s Most Pressing Need for Publishing Automation?

“I came to the house in 2016. Tevalla already had information at that time that there are data-based catalog typesetting processes. Catalogs are our biggest marketing effort. We wanted to automate this big and important annual process. When I pushed out a finished product with automatic typesetting for the first time, I immediately noticed its benefits to our work.”

“Our sales have been surprised and happy when, for example, in a day we can produce a basic brochure that sales requests – it would never have been possible before! This is really cool.” – Anni Mielonen, E-commerce specialist
